🔎 Review change request

Get notified when new change requests are created

If you've configured the train class that you are an admin to properly you will be notified of any change request via email. Please follow steps below to add email to a train class.

1. Click Administration from the top navigation 2. Select Trains 3. Click Edit Train (1) .

4. Provide Administrator Email(s).

This email(s) will be used to send change request notifications when new change requests are raised for faults in this train class.

5. Click Save. . You will see this button near bottom left of the page

You will now be notified if any change request has been made for the train class you've selected.

From the email notification, you will have three options: Review Step, Edit Change Request or Delete Change Request.

  1. Review Step - will take you straight to the fault

  2. Edit Change Request - will take you to the administration of change request page with the dialog where you can input comments (see Comment on change request)

  3. Delete Change Request - will take you to a dialog where it asks you to confirm whether you want to delete the request

View change requests from dashboard

You can see all of the change requests your users have made in the system within the admin section of change request. Follow these steps to get you there:

  1. At the top navigation, locate Administration. Hover over this

  2. Select Change Request from the drop down options

You are now in the Change Request page for admins and ready to administer change requests

You have the following columns within this page (left to right):

  1. Date Noted - the date when a change request was created

  2. Train - the train class associated with the fault

  3. Category - the category associated with the fault

  4. Fault - the fault for which the change request was raised

  5. Step - this column shows which step in the resolution fault is associated with the change request

  6. Description - shows description of the changes suggested

  7. Administrator comment - this is where you will see any comments that an admin has made

  8. Tools - you will find the following buttons:

    1. Edit item . This will take you straight to the fault where you can administer the change request. (See Implement change request to see how)

    2. Change . This button will allow you to add comments to the change request, and also change the status to close. (See Comment on change request to see how)

    3. Delete . This will open up a dialog confirming if you want to delete the request

Comment on change request

Commenting on change request is a must before you can close it. You can use this feature to inform the user of what you have changed, to ask clarifying questions about their request or anything else that would aid you in implementing or deciding to remove their request. Follow these steps to do so:

  1. Go to Change request admin page (See View change request from dashboard)

  2. Click Change button

  3. Add your comment on the field Administrator Notes

  4. Click Save

Your comment can now be seen by the user who requested the change.

🔨 Implement change request

If you've read through the whole section above, you are now ready to implement change request.

1. Go to admin page of Change Request. (See View change requests from dashboard)

2. Click Edit item under the Tools column. You will be redirected to the fault's page

3. Click CR at the top right hand corner of the edit view. You will see the change request, like shown below:

4. Apply the changes required. See Editing a fault if you need to remind yourself how.

5. Click on the Change Request within the edit view

6. If there are no Administrator Notes, fill it in

7. Check the tick box ✅ next to the field Closed

8. Save your changes and the item is now closed

The user who requested the change will be able to see your comment and that the item is now close
